A custom MS Access system replacing spreadsheets for a commercial property manager — unit tracking, CAM/tax billing, and automated invoicing.
A commercial property management company was running a growing portfolio of buildings and units through a patchwork of spreadsheets — one for leases, another for CAM (common area maintenance) charges, another for owner statements. Nothing talked to anything else, and every month-end invoicing run meant reconciling numbers by hand across all three.
We built a single MS Access system around their actual workflow: a centralized dashboard for quick access to properties, tenants, leases, invoicing, payments, and reports; full property and unit records (square footage, status, CAM rates, property taxes); and complete owner and tenant profiles with notes and attachments. The core of the system automatically generates monthly rent, CAM, and property tax invoices with accurate totals pulled straight from the lease terms — no more manually recalculating a CAM share every time a unit changes hands.
Payments and tenant ledgers are tracked in the same system, and built-in operational and financial reports export straight to Excel and PDF for owners who still want a familiar spreadsheet view. The result: far less manual reconciliation, fewer billing mistakes, and a clear, centralized view across the whole property portfolio instead of three disconnected files.
