A custom MS Access system for a residential apartment community — lease lifecycle, resident ledgers, delinquency tracking, and legal notices.
A residential apartment community needed to move off manual spreadsheets and disconnected paperwork for day-to-day operations — leases, rent charges, payments, maintenance requests, and legal notices were all tracked separately, with no single source of truth for a resident's account status.
We built a custom Access application to centralize the entire operation. It maintains resident and unit records and tracks lease start, end, renewals, and month-to-month status alongside market rent, lease rent, security deposits, and balances. Monthly rent and recurring charges (utilities, assessments, credits) post automatically to each resident's ledger, which keeps a running, auditable balance for every account — no more manually tallying what a resident owes.
On the operations side, the system tracks unit vacancies and days vacant, flags delinquent accounts, and shows upcoming lease expirations across the whole portfolio in a rent-roll view. It also logs maintenance requests with priority and status, and generates standardized legal and operational notices (3-day, 7-day, 30-day, renewals, returned checks) linked directly to the resident's account. Payments are recorded individually, grouped into batches, and reconciled against bank deposits — preventing duplicate posting and giving management clean, closeable deposit records.
The result is a single system covering the full resident lifecycle: leasing, billing, payments, maintenance, and compliance — replacing spreadsheets with something that scales, stays accurate, and is ready for an audit at any time.
