Finding an Affordable MS Access Developer That Delivers Quality Results

Ask three developers to quote the same Access project and the numbers can come back a factor of five apart. I've taken plenty of calls from businesses that picked the lowest one: the database limped along for six months, and now they're paying a second developer to redo it. So I have strong opinions about what an affordable MS Access developer actually is, and "the cheapest bid" is not the definition.

Cheap and affordable are different things. Affordable means a fair rate for work that holds up. Cheap means a rate below that, with the difference quietly taken out of the parts you can't see at handover. This post is about telling them apart before you've paid either one.

What Actually Drives the Cost of Access Work

An Access quote is mostly a function of five things, and none of them is a secret:

  • Forms and reports. Each screen has to be designed, wired up, and tested. A three-form job tracker and a fifteen-form operations system are entirely different projects, even if both get described as "a database."
  • The state of your data. This is the cost everyone forgets. Moving clean data in is quick. Untangling ten years of spreadsheet entries where the same customer appears as "Jon Smith," "J. Smith," and "Smith, John" can cost more than building the database itself.
  • Integrations. Every external system the database talks to (Excel, Outlook, SQL Server, a barcode scanner) adds development and testing hours.
  • Multiple users. A file one person opens is simple. Eight people editing at once needs a split front end and back end, decisions about record locking, and considerably more testing.
  • New build versus existing database. Adding to a working database is usually cheaper than starting over. The exception is when the existing structure is bad enough that it needs repair first, and an honest developer tells you that before starting, not after.

When a quote arrives, you should be able to see these five factors reflected in it. A number that doesn't reference your data, your user count, or your integrations wasn't calculated. It was guessed.

Where Cheap Work Cuts Corners

A lowball price isn't magic efficiency. The missing hours come out of somewhere, and in my experience they come out in a predictable order.

Table design goes first

Proper design splits information into related tables: customers here, orders there, linked by IDs. That takes thought, so corner-cutters skip it and build one giant spreadsheet-shaped table instead. The demo looks identical. Then duplicates creep in, reports start disagreeing with each other, and eventually you're told the whole thing needs rebuilding "properly." Sometimes by the same person who built it improperly.

Validation goes second

Drop-down lists, required fields, and format checks are what keep a database from filling with junk. None of them shows up in a demo, so cheap work leaves them out. You discover this at reporting time, when "Complete," "complete," and "done" turn out to be three different statuses.

Error handling and documentation never existed

Undocumented VBA with no error handling works until it doesn't, then crashes with a message nobody can interpret. When the next developer (often me) opens the file, the first billable hours go to decoding what the code was even trying to do. That's the arithmetic of cheap work: the money you saved becomes someone else's invoice later, plus interest.

What a Fair Price Looks Like, With My Own Numbers

Rates in this niche vary enormously with geography and overhead, far more than they vary with skill. A consultancy with a city-centre office bakes that office into its rate. I work remotely from Lahore with almost no overhead, and after ten years and 1,500+ clients, most problems that land on my desk are ones I've solved before, so they take less time. That's why I can charge $30/hour for work on an existing database, $450 for a new database built from scratch, and $650/month for ongoing support. Whatever the number, a fair quote has recognizable features:

  • It arrives after questions about your workflows, your data, and your users. A quote that comes back within the hour, sight unseen, is a guess you'll pay to correct later.
  • It's itemized enough that you can compare it against another quote line by line.
  • It says what's excluded, in writing. Data cleanup, training, and post-launch changes are the usual surprises.
  • For a defined scope, it's a fixed price. Open-ended hourly billing on a well-defined problem shifts all the risk onto you.

A lowball, by contrast, arrives fast, promises "everything included," and is suspiciously round.

How to Genuinely Spend Less Without Inviting Trouble

There are real ways to reduce the cost of a project, and none of them involves hiring worse:

  • Phase the build. Launch with the core tables, forms, and reports, live with it for a month, then add the extras. Half the nice-to-have features never come up again once people use the real thing.
  • Send sample data with your enquiry, so the developer quotes your actual project rather than an imaginary clean one.
  • Do your own data entry and cleanup where you can. Paying developer rates for typing wastes everyone's time.
  • Write down every report you need before work starts. Reports drive table design, and adding one late can mean reworking the structure underneath it.

Overhead and geography, not quality. A remote specialist carries no office costs and isn't limited to clients within driving distance, so the rate can drop while the work stays the same. Judge remote candidates the way you'd judge anyone: portfolio, communication, and the questions they ask about your project. Should I pay a fixed price or hourly?

Fixed price for anything with a defined scope: a new build, a specific feature, a migration. Hourly suits open-ended work like ongoing tweaks and support, where scoping each small job would cost more than the job itself. A developer who refuses to fix a price on a clearly defined project is telling you they don't trust their own estimate.
